Crystal PM coming to our office...Can I pick your brains???

We are committing to Crystal PM as our new practice management system.

I'll be exclusively lab/dispensary in my use and am being asked to highlight or eliminate from 10 pages of options regarding contacts and eyeglass lenses what will be auto filled and told this cannot be changed once we go live in a few weeks.

My first thought is to keep this as simple as possible and just use generic terms like "Daily Disposable Contacts" or " Basic Progressive", "Progressive" or "Advanced Progressive".

My office manager thinks I should be more specific which means possibly hundreds of choices. This is also so when the bill is created the specific products/designs are listed.

    Should we barcode frames?

    What did you guys do?

Any suggestions to avoid start-up pitfalls?

Any back-office billing suggestions you wish you had done from the get go?

    Thanks for your anticipated input!!!

You should be more specific with contact lens. Rebates cannot be redeemed with basic information.

As far as ophthalmic lens go, and lens add ons, we kept it super basic. (i.e. standard, premium & custom PALS/AR etc)

Bar codes for frames really helps transfer information to patient orders as well as manage inventory.

The files tab for scanned document/lab invoice etc is amazing and super helpful.

Crystal PM is extremely dummy proof, its my favorite EHR system by far. Good luck!

Hmm. We have Crystal. We have our difficulties. I don't know all the answers, after two years.

I can work through it with you, sometime.

I am interested in implementing the wand for the bar codes. We bar code, but it's not helpful without the wand.

Thanks guys. I really appreciate the help. I hope others can chime in as well.

First dispensary webinar Thursday morning. Any questions you'd like me to ask?

We have wands and will definitely implement them.

I'll be putting the dummy proof to the test for sure;)

drk- My doc and office manager may want to take you up on your generous offer.

I'll pm you next week sometime.

Consider this as you are deciding how to enter information: What info will I need to have ready access to for remakes, non-adapts, duplications, etc.? I really prefer to have precise frame, lens, and contact information available without having to dig into a vault of scanned paperwork, not just "Premium Progressive."

    That's a good point.

However, this is all about de drop down lists!

There is a drop down list for "lab order forms": Progressive brand A1, A2, B, etc. are put here.
There is a "master fee schedule", though, where you have your pricing tiers. You can have as many as you like.
You simply assign a pricing tier to a progressive brand.

So Doc do you follow grouping/pricing like the VSP tiers K -N?

I hear they're tied in to Eye Med and are working on soon having VSP a one entry and done as well. If so I'm really looking forward to not having to enter everything twice!
