    Confused Staff Operations Manual

    Aloha all - I am a one shop independant with a family practice. We will need to employ someone outside the 'family' as a dispenser/ Dispensing assistant and therefore I will need to create some sort of operations manual for them to cover the job and to plan training with.

    Before I just go ahead and do it from scratch, I wondered if anyone, had done this before and would be prepared to share with me so I have a template with which to write mine with. I would much prefer not to make mistakes that you guys ha already made if you were willing to share experience or existing manuals with me.

    Aloha Paul! Welcome to OB.

    It sounds like you need 2 manuals - a training manual and an employee manual.

    The employee manual should outline your company's policies - here are just some ideas:

    -Mission Statement
    -observed/paid holidays
    -PTO or sick time/vacation time (when does an employee start to accrue)
    -define "full-time" and "part-time" employee status (Fed. gov. definition of FT status is 30hrs/week but you may accept 29, for instance)
    -Dress code
    -policies on tardiness, excessive absenteeism, personal calls, personal hygene...
    -benefits and eligibility (if any)
    -your rules on accepting gifts from vendors
    -discounting rules
    -how the company handles disputes and complaints

    A training manual can be a basic overview (recommended) or an in-depth study and training guide to optical dispensing. An overview can go something like this:

    Lens materials and designs - definitions and recommendations
    Taking proper measurements, definition of terms
    Ordering
    Edging
    Verifying rx's (lensometry)
    Fitting and Adjusting
    Glossary
    Index

    you may also want to consider doing a background check on whomever you hire

    Devise a policy and procedure manual and update it when you make changes as well as the date. An employee manual should include all relevant protocol as well and be adhered by all. This includes family members. The largest problem encountered in this scenario is nepotism since family members think they are immune.
