We currently have an Executive Administrative Assistant career opportunity in Providence, RI. This is a part-time position.




Position Summary: The primary focus of this position is to provide administrative support for the President. Under minimal direction, will perform a broad scope of administrative and communication functions to support an executive management team.


Essential Duties:
All duties to be performed according to the established standard and in compliance with all company policies and procedures while maintaining regular, prompt attendance and availability for overtime as needed:
• Coordinate and maintain appointment schedules and calendar. Proactively take responsibility for calendar management utilizing good judgment and initiative. Coordinate arrangements for internal/external meetings, conference calls; compile and disseminate materials for meetings and calls as required. May also attend meetings and take and distribute minutes. %
• Prepare and schedule travel arrangements, internal and external business meetings, client or third-party appointments, conferences and general office events. Create and process expense reports. %
• Work on a variety of special projects as needed with multi-tasking as necessary. Ability to take initiative, use good judgment, understand deadlines and carry multiple projects through to completion with an ability to work independently under general direction, prioritize work and ask for further clarification when necessary. %
• Work with junior and senior level technical staff, intercompany group leaders and office leaders as well as area and corporate management to make certain their needs are addressed in a timely, professional manner. %
• Provides complex screening, fielding, prioritizing of inbound communications via telephone, mail, and e-mail to resolve critical issues in a timely manner. %
• Open, sort, review and organize incoming/outgoing mail and correspondence. Independently draft/compose routine letters and general correspondence (including e-mail) from verbal direction or from knowledge of processes and procedures. %
• Design and format reports, forms, correspondence, utilizing the Company's standard and highest possible quality orientation. Create, format, type, edit, proof, and finalize reports and presentations with great attention to detail using extensive experience with Microsoft Excel, Word (including Mail Merger) and PowerPoint. %
• Preparation of documents. Maintain and organize files for records. %

• Perform other duties as assigned.

Physical Demands: The tasks of this position generally requires duties to be performed by:
• Frequently lift and move up to 10 lbs to shoulder height unaccompanied.
• Occasionally lift and move up to 25 lbs to waist height unaccompanied.
• Regularly sit for duration of shift.
• Occasionally required to walk, stand, stoop, climb, or balance.
• Coordinated use of hands and fingers to grasp, feel objects, transfer small items from one hand to another, fine manipulation, and bilateral reach with arms.
• Use of close vision, depth perception and ability to adjust focus.

Safety and Ergonomic Requirements:
• Must practice safe work practices at all times and report any unsafe conditions immediately.
• Required to wear the appropriate PPE while in the laboratory, including but not limited to safety eyewear and enclosed shoes.
• Attend and participate in all required safety trainings.
• Follow all Lock Out/Tag Out procedures as required for both authorized and affected users.
• Participate in daily ergonomic stretches and follow all ergonomic requirements of the position.
• Follow all personal dress requirements according to the established dress code and safety requirements.

Education/Experience
• Bachelor’s Degree in Business Management or related field preferred.
• 7+ years of legal, finance or corporate communication executive administrative experience preferred.
Language Ability
• Ability to read, analyze, and interpret general business periodicals, professional journals, or governmental regulations.
• Ability to write reports, business correspondence, and procedure manuals.
• Ability to communicate well, both written and verbal; demonstrated understanding of correct grammar, spelling and punctuation.
